Guidelines & Approval Process

THE APPROVAL PROCESS

If you are a 3rd or 4th year student wishing to travel for credit, whether RVU sponsored or self-sponsored, must:

  • complete the Academic and Participation Approval Form on the student iNET under Global Medicine, 4 to 6 months prior to the scheduled trip.
  • complete the required documentation in your shared OneDrive Travel Folder which will include an upload of the following items:
    • Color Copy of Current Passport - note that all passports must NOT expire within 6 months of the end of the trip
    • Proof of Immunizations - Tetanus, Typhoid, Hep A, Hep B, COVID-19, Annual Flu Shot, any required boosters
    • Proof of Medical Evacuation Insurance.
    • Proof of Smart Traveler Enrollment Program Registration (STEP) - this is through the State Department website.
    • Flight Itinerary
    • 3rd and 4th year students must also fill out the Elective Rotation Request form for Clin Ed at least 90 days before the trip.
    • Any other required forms as assigned
    • Students are encouraged to seek out travel/trip insurance to help recoup any costs associated to an unforeseen cancelation.
If you are a 1st or 2nd year student wishing to go on a Spring Break Global Medical Outreach Trip you must complete the Spring Break Registration form
on the student iNET, and then provide the other documents as requested above (except for the Elective Rotation Request form).
